General

The Clinic Medical Services Manager oversees the medical care and treatment of all animals in Animal Friends Alliance’s public spay-neuter and vaccine clinic. This includes ensuring a high standard of care of all animals within the clinic, maintaining an inventory of and ordering medical supplies, and maintaining and servicing medical equipment. Additional work includes maintaining and enforcing federal, state, and local regulations, resolving customer relation issues, and supervising employees and volunteers in duties while also performing them. Finally, this position must be comfortable with assisting and running surgery and vaccine clinic days. The Clinic Medical Services Manager will complete staff assignments, follow through on matters, and use independent judgment and training to take appropriate actions to deal with a variety of situations. 


Major Duties and Responsibilities:

Client & Medical Care

  • Confidently and comfortably runs, assists and monitors surgery days
  • Is familiar with and can operate and troubleshoot common equipment in a veterinary hospital including but not limited to: anesthesia machine, pulse ox, oxygen concentrator, autoclave, etc. 
  • Communicates with clients in a professional and courteous manner at all clinics associated with Animal Friends Alliance. Communication involves in person, over the phone, and online
  • Quickly resolves all medical concerns and takes proper steps to prevent issues from reoccurring
  • Ensures proper completion of all medical records and follows state regulations on all animals seen by Animal Friends Alliance
  • Ensures a proper level of daily use and medical supplies that are clean, in stock, and ready to use, coordinating with appropriate staff for restock of items through organizational wish lists and direct purchases
  • Coordinates with the lead veterinarian regarding standard operating procedures, inventory shortages, and staff training initiatives
  • Orders all medical supplies in a timely manner and within budgetary restrictions and locates appropriate substitutions in the event of back orders
  • Maintains all equipment in the clinic

Staff & Volunteer care

  • Communicates clearly with staff & volunteers to meet the medical needs of animals under the care of Animal Friends Alliance
  • Supervises, trains, supports and performance counsels veterinary support staff (veterinary technicians and client service representatives)
  • Trains, supports, and provides feedback to volunteers and interns in this department
  • Creates and enforces Standard Operating Procedures, training manuals, and other company regulations with staff & volunteers 
  • Ensures that clinic medical areas are staffed with appropriate volunteers and staff and communicates needs with the Volunteer Coordinator and Director of Community Pet Resources
  • Ensures that medical settings are clean, safe, and comfortable for clients, patients, shelter animals, volunteers, and staff at all times 
  • Initiates, compiles, and completes performance reviews on all clinic employees per human resources guidelines
  • Creates schedules for staff and manages requested time off, sick time and other requests 
  • Holds one on ones as needed for staff development and support 

Other Duties:

  • Provides quality in-person and telephone client service
  • Learns basic duties of other departments and support other departments and staff
  • Attends and actively participates in Quarterly Departmental Meetings and All Staff Meetings
  • Performs liaison duties as needed
  • Is an active part of increasing staff education for themselves and other employees.

Requirements

Education/Experience:

Education

  • Required: Minimum of high school diploma or equivalent
  • Preferred: Registered Veterinary Technician licensure; Associates or Bachelors degree

Experience:

  • Required: Minimum of 2-years experience working in animal welfare field. Experience working as a veterinary technician required
  • Preferred: RVT (Registered Veterinary Technician)  

Miscellaneous

  • Valid Driver’s License: Required

Knowledge:

  • Knowledge of animal breed, behavior, handling, and veterinary care
  • Knowledge of veterinary technical procedures
  • Knowledge of clinic software

  • Knowledge of Microsoft Office, including Excel
